Project Overview: Northern Virginia Bird Alliance (NVBA) is seeking an experienced data migration consultant to handle the updating of our volunteer database.
Our implementation is based on the non-profit success pack and was first implemented in 2015. Currently it is used by the Wildlife Sanctuary Program to assign Ambassadors to requests for visits, to keep records of requests and the results of visits, and manage certifications. NVBA proposes to update and enhance that use through the implementation of the Lightning Experience and supporting the system creation to include ALL NVBA volunteers in this platform.
Scope of Work
Primary Objectives:
Migrate Workflow to Flow to support the Wildlife Sanctuary program, and implement Lightning Experience.
Streamline and automate operations that we have not been able to achieve due to some cross-object data.
Import legacy WSP data from a spreadsheet, and import data from the Loudoun chapter on at least an annual basis.
Assist with creation of custom report types.
Support workflow creation for other volunteer pipelines in preparation for a new volunteer coordination role.
Key Deliverables:
Ensure the configuration, permissions, and layouts adequately support volunteer management across multiple committee needs
Documentation of new Salesforce data structure and processes for ease of training NVBA staff and ensuring everyone is using the same system
Post-migration support and troubleshooting
Flow is implemented and modified as necessary to replace existing and currently manual processes.
Legacy data and data from Loudoun county are imported.
Custom report types provide metrics needed to provide feedback on efficiency of operations.
Required Qualifications
Technical Expertise:
3+ years of experience with Salesforce administration and data migration
Proficiency in data mapping and data quality management
Experience with Salesforce Nonprofit Success Pack (NPSP) preferred
Skills and Competencies:
Excellent project management and communication skills
Detail-oriented approach to data accuracy and validation
Experience working with nonprofit organizations and donor management systems
Ability to work independently and meet tight deadlines
Strong problem-solving skills for handling data inconsistencies
Prior nonprofit experience
Project Timeline
Duration: 4-6 weeks from project start date (mid July)
Commitment: We encourage you in your proposal to identify the amount of time this will take you, accounting for several meetings with NVBA staff and gaining understanding of our volunteer system and needs. Below, see a referenced six week timeline. This is adjustable based on experience and availability of time from the chosen consultant.
Week 1: Discovery, data audit, and migration strategy development
Week 2-3: Data cleansing, mapping, and Salesforce configuration
Week 4-5: Data migration execution and testing
Week 6: Validation, documentation, and training
Compensation: Competitive project-based fee commensurate with experience. Please include your proposed fee structure with your proposal.
